In the fast-paced B2B tech environment, new ground is continuously broken, but it’s not without its share of hazards. Data breaches, security loopholes, and service breakdowns are just some crises that could send a tech firm into a frenzy. Although companies can’t foresee every potential catastrophe, they can certainly gear up for it. 

Crisis management blueprint

The foundation of public relations crisis preparedness is a detailed crisis management blueprint. This document serves as a guide, outlining the course of action during a crisis. It should be tailored to the specific sector and company, addressing potential threats like data breaches, service interruptions, security glitches, or bad press.

Scenarios of potential crisis

Begin with a brainstorming session, conjuring up all possible crises the company could face within the B2B tech realm. This could involve security shortcomings, intellectual property theft, service disruptions, or even a poorly received product launch.

Crisis management team

Put together a dedicated squad responsible for PR crisis management. This team should include representatives from various departments such as PR, legal, engineering, and customer service. 

Clearly delineate roles and responsibilities for each member, like who will be the face of the public relations crisis, who will be handling internal communications, and who will be consulting with the legal team, among others.

Communication strategy

Set out foolproof communication procedures. These should detail how the company will liaise with all stakeholders, including clients, partners, investors, and the media. 

Pick the communication channels – press releases, email blasts, social media updates. Draw up a communication command chain, outlining who greenlights messages and in what order information gets shared.

Plan of action for each scenario

For each identified public relations crisis situation, chart a specific action plan. This plan should outline immediate steps to alleviate the crisis, limit damage, and prevent further escalation. Include protocols for data recovery, security updates, service restoration, and other corrective measures required depending on the situation.

Resource inventory

List all available resources to tackle a public relations crisis, be it IT infrastructure for communication, legal advice, or a pre-established tie-up with a PR crisis management agency. Remember, a crisis management blueprint is a dynamic document. Regularly revisit and revise it to reflect changes in the business, industry trends, or upcoming threats. 

Training and drills

A plan on paper is just the first step. Equipping the internal team with the know-how and skills to execute it effectively is equally important. Conduct regular training for employees, particularly those on the PR crisis management squad. 

These sessions should cover crisis scenarios the company’s response procedures, and effective communication methods during a crisis. They should also include media relations training for designated spokespersons and how to conduct under pressure. 

Drills are crucial too. Simulate real-life crisis scenarios to test the plan, spot loopholes, and fine-tune the response. This allows the internal team to practice collaborating effectively under stressful conditions.

Transparency and timeliness

In a public relations crisis, silence is deadly. Be open and transparent with the stakeholders. Communicate promptly, providing clear and accurate information about the situation and the steps the company is taking to resolve it. Delayed communication can stoke speculation and erode trust.

Choose a spokesperson

Having a single, designated spokesperson ensures consistent communication throughout the crisis. This person should be well-informed about the situation, be a skilled communicator, and project calm and understanding.
